While going into business as a yoga teacher is a fantastic choice for both your life and career, such a venture is not without its drawbacks. While you will indeed spend much of your day in a studio, guiding your clients and helping people to improve their lives, you will need to spend a considerable amount of time managing the administrative tasks of your business, too.

It’s fair to say that administration is not a popular task and is something that many business owners find stressful and overwhelming to manage. Thankfully, there are a few ways you can improve your overall admin management, all of which can help minimize the disruption of paperwork and leave you free to focus on the aspects of your business that mean the most to you. #1 – Reduce your reliance on paper

Paper has its uses, but when it comes to business admin, it’s an encumbrance that greatly complicates the entire process. Wherever possible, switch to using digitized files to manage your admin; scan existing documents and convert them to PDFs, using a PDF editor for macOS or Windows operating systems should you need to make edits in future. You can then store your files in Google Drive or Dropbox, so you can access them from any device at any time – far more straightforward than relying on keeping track of heavy, endless reams of paper.

In most cases, a diary is a very basic thing: somewhere to record details of your appointments. If someone wishes to schedule an appointment or book a lesson, you have to consult your diary and confirm if you’re available – which is less than ideal. Dynamic calendars, on the other hand, are far more flexible, allowing people to book appointments themselves within remits you set, as well as allowing you access to your schedule on a cloud-based platform – Calendly is a popular choice, though Google Calendar also offers a free-to-use service that provides many similar benefits.

#3 – Make “tax day” a year-round endeavor

Filing your business’ tax return is never a welcome task, but you can ease the pressure somewhat by operating a “tax day is every day” mentality. If you keep track of your finances year-round, with the same dedication and attention to detail you’d employ when filing your return, you should find it far easier to manage your tax affairs. Every time you make a business purchase or receive funds, document it exactly as you would if filing your return – so when the times comes to file, you already have everything you need to hand.

#4 – Set a “clear up” hour

Finally, it’s important to note that even if you manage your yoga business’ admin every single day with complete dedication, there’s likely to be an occasional hiccup – a day when you’re too tired to go through the usual process, or an appointment you had forgotten you made. To catch all these overspills, designate one hour a week as a “clear up” hour, when you go through all of your paperwork, your diary, and your record-keeping to ensure it’s all exactly as it should be.
